Information we collect

When you contact us, we collect the details you provide — name, email, company name, team size, and your message.

When you use the NeraTek platform, we process the lead conversations and contact details that flow through your connected channels (such as WhatsApp) on your behalf. We also collect basic technical and usage data (such as IP address and pages visited) to operate and secure the site.

How we use your data

To respond to your inquiries, provide and improve the NeraTek service, qualify and route leads on your behalf, and meet our legal obligations.

Legal basis (GDPR)

We process personal data under the GDPR on the basis of your consent, our legitimate interest in operating our business, and the performance of our contract with you.

Sharing your data

We never sell your data. We share it only with trusted service providers who help us run NeraTek — including hosting, messaging (WhatsApp/Meta), and calendar providers (Google) — and only as needed to deliver the service.

Google user data and AI

NeraTek connects to your Google Calendar, with your explicit consent, solely to schedule property viewings on your behalf — checking your availability (free/busy) and creating, updating, or cancelling viewing appointments at your request. We do not read your other calendar content for any other purpose, and we never sell Google user data.

NeraTek uses a third-party artificial-intelligence provider (OpenAI) to power its conversational WhatsApp assistant. Google Calendar data is used only to provide the scheduling feature described above; it is never transferred to any AI provider to develop, train, or improve generalized artificial-intelligence or machine-learning models. Data sent to our AI provider is processed via the OpenAI API, which does not use it to train OpenAI’s models.

NeraTek’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Property finder chat on neratek.net

If you use the property finder chat on neratek.net, an assistant that searches the property portfolios our customers make available on the NeraTek platform and routes your enquiry to a single matching partner, NeraTek, Lda. (NIPC 519264800), a company incorporated in Portugal with its registered office in Lisbon, is the data controller for that conversation and decides why and how the data is used. This is different from the customer-branded channels we operate for our clients, for example an estate agency’s own WhatsApp number. There, the agency is the controller and NeraTek acts only as a processor on that agency’s instructions. If you are not sure which situation applies to you, or you have any other question about this processing, email privacy@neratek.net.

In that chat we collect the messages you send, the property preferences you state (such as area, budget and number of bedrooms), and any contact details you choose to share (phone number or email address). Sharing contact details is optional: without them we can still answer your questions in the chat, but we cannot put you in touch with a partner.

We use this data for two connected purposes: answering your enquiry, and connecting you with a real-estate partner suited to the preferences you state. The legal basis is Article 6(1)(b) GDPR, namely processing necessary in order to take steps at your request prior to entering into a contract. The AI part of the chat runs through the OpenAI API, under the same Limited Use commitments stated elsewhere in this policy: the API does not use your data to train OpenAI’s models.

When there is a suitable match, we share your enquiry and the contact details you provided with one matched NeraTek partner so that they can follow up with you. The category of recipient is partner estate agencies and agents; we do not name individual firms in this policy, we do not send your enquiry to several partners, and we never sell your data. Our own suppliers, such as hosting and the AI provider, act as processors on our behalf.

Once the matched partner receives your data, it becomes an independent controller of its own copy. It decides how it follows up with you, its own privacy policy and contact details apply to that copy, and it is responsible for that processing under the GDPR, including for informing you about it. How long the partner keeps its copy is determined by that partner. NeraTek keeps its own copy under the terms described here.

We keep chat transcripts for 90 days. Where an enquiry is passed to a partner, we keep the resulting lead record (your enquiry and the contact details you gave) until the enquiry is resolved or until you ask us to delete it, whichever happens first.

Under the GDPR you have the right to access, correct, delete, restrict, or object to the processing of your data, and to data portability. To exercise these rights in relation to the property finder chat, email privacy@neratek.net. Because the matched partner holds a separate copy, you can also send your request directly to that partner; if you are not sure who they are, email us and we will tell you which partner received your enquiry. You may also lodge a complaint with a supervisory authority, in particular in the country where you live, where you work, or where the alleged infringement took place. NeraTek’s own supervisory authority is the Portuguese data protection authority (CNPD). If you are in Spain, you may instead contact the Agencia Española de Protección de Datos (AEPD).

Data retention

We keep personal data only as long as necessary for the purposes above or as required by law.

Your rights

Under the GDPR you have the right to access, correct, delete, restrict, or object to the processing of your data, and to data portability. To exercise these rights, email privacy@neratek.net. You may also lodge a complaint with the Portuguese data protection authority (CNPD).

Security & international transfers

We use appropriate technical and organisational measures to protect your data. Where data is transferred outside the EEA, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses.
